Project Coordinator

 

Job Summary     

To provide project coordination for provisioning requests and projects utilizing the defined processes and other methodologies and best practices. This position is responsible for coordinating Company and Customer projects and provisioning efforts.  This position is ultimately responsible for the successful deployment of all deliverables of provisioning efforts and project within time and budget constraints as defined.  

Essential Duties and Responsibilities

  • Ensuring timely completion of provisioning efforts
  • Setting targeted completion dates for provisioning efforts
  • Manage roadblocks (Jeopardy Codes) in provisioning efforts and work with appropriate departments to remove (and eventually avoid) these roadblocks
  • Maintain proper status on provisioning request
  • Maintain accurate booked not billed report with projected completion dates
  • Assist with development Provisioning automation efforts into the future
  • Measure provisioning time to completion by product offering and report trends as well as develop improvement plans
  • Serve as a resource for ops admins for provisioning questions and support
  • Oversee “Project Oversight” efforts, as outlined in the Project Management / Provisioning Triage Process
  • Serve as a project manager on internal projects as requested
  • Serve as associate project manager on large projects to provide backup support to PM team
  • Responsible for coordinating required resources with resource managers for required work
  • Support the overall goals and vision of the Company to the extent of providing support in areas outside the duties of a Project Manager’s position

Education and Experience Requirements

  • A Bachelor of Science degree in a computer related field or equivalent combination of project coordination and IT skills and experience (in depth knowledge of IT processes and best practices is preferred)
  • Evidence of strong interpersonal and communication skills for working with individuals, cross-functional teams and all levels of the organization

Technical Knowledge/Skills

  • Knowledge of IT systems, processes and capabilities
  • Knowledge of project management software, techniques including previous experience planning, and coordinating cross-functional teams
  • Capable of creating, reviewing and assessing what are good technical deliverables, work breakdown structures (WBSs), and project plans
  • Capable of bringing creative approaches to project leadership including motivational techniques and team building approaches
  • Maintain a substantial knowledge of our core business strategies, product lines, and IT systems
  • Capable of looking for and implementing process improvement ideas to reduce cost, increase quality, or improve communications in the organization
  • Can effectively communicate the overall vision of the project as well as devise the detailed plan to reach that vision

Interpersonal Knowledge and Skills

  • Capability and willingness to learn new systems, processes and skills
  • Demonstrated ability to lead complex or multiple projects involving cross-functional teams
  • Excellent written and oral communication skills as well as organizational skills
  • Must be able to effectively communicate technical concepts to non-technical personnel
  • Capable of holding the team and individuals accountable to deliverables and timelines without direct reporting responsibilities
  • Maintains a sense of urgency with self and the team to drive to results
  • Uses plans, goals and prioritization to provide the highest value to the customer
  • Capable of dealing with conflict and able to motivate resources to accept mutual ownership for the success of assigned projects
  • Must be able to collaborate and coach effectively in a team environment with minimum or no supervision
  • Recognized by peers for strong leadership skills and ability to influence
  • Coach less experienced personnel on applying project management concepts to the development of project plans, change management, and how these impact other parts of the organization
